1. Invite your team
For teams collaborating in Spacemaze, invite your colleagues and set their user permissions for effective organization-wide collaboration.
2. Create your offices
After completing the activation of your organization in Spacemaze, you're ready to create and set up your offices.
3. Set up your office floors and request an interactive floorplan
Define the floors within your offices and submit their specific details in Spacemaze. Following this, you can request an interactive floorplan, by uploading existing floorplan documents.
4. Create your office areas
After adding your floors, you may define sub-areas such as rooms or spaces on each floor for improved inventory management and overview. This can be done through the ‘Manage areas’ option or directly within the interactive floorplan after it’s been activated. Whatever is most convenient to you.
5. Add your inventory
Once your office is outlined in Spacemaze, it's time to add your inventory. This allows you to catalog your items, ensuring efficient management and tracking within your workspace. You can choose different ways of adding your inventory: use your mobile device for adding items as you move through the office, manually input items using your desktop, or upload a spreadsheet containing your inventory details.
6. Organize your agreements
By adding and managing your office-related agreements in Spacemaze, you get a clear overview and can set reminders for renewals to ensure no deadline is missed. You have the option to add contracts individually by submitting them manually or use our upload template for adding multiple agreements at once.
7. Add your office’s maintenance contacts
In the Maintenance Contacts section, you can input your office suppliers' contact details to keep track of who to contact for various needs. You can add suppliers one at a time through the platform's form or use our upload template to add multiple contacts simultaneously.
9. Add your real estate leases
In the Real Estate Leases section, you may add lease agreements for your offices, add comments for clarity or action items, and set reminders for important dates like renewals or payment deadlines. Add your leases individually or in batches using the platform's upload function.
10. Visualize and design your office spaces
Use the interactive floorplan to create and manage your office layouts. See and change how your office looks, plan your space use, and update where your inventory items are placed in real-time. Make the most of your office by adjusting it to fit your needs.
